How to choose a document scanner

The choice here is determined by one number: how many sheets. That number takes fifteen minutes to work out, and it prevents the two biggest mistakes in archiving projects — a device too small for the project, and one too large for daily use.

Archive size in sheets

Do not count sheet by sheet. A 500-sheet ream is about 5 cm thick, so each centimetre is roughly 100 sheets. Measure the thickness on each shelf and multiply by 100.

The daily load after the project ends

This is the most important point and the most often forgotten. Most people choose based on the initial digitisation project, and once it is done the device is far larger than the daily need. If only a few hundred sheets a month will arrive after the old archive is finished, it is cheaper to have the first project done as a service and buy a smaller device.

The kind of paper, not just the amount

A file containing invoices, receipts, cards and mixed sizes needs a device that handles that mix. Older, thin or damaged paper needs different settings and a different paper path.

The bundled software

This part determines a project's success more than speed does. OCR, automatic naming from the document's own content, and export to a network folder or document management system — without them you will still be naming files by hand.

The most common mistake: calculating from the rated speed

A device rated at 60 sheets a minute will not give you 3,600 an hour. There is paper preparation, loading batches, checking and the occasional jam. Assume 50% of the rated speed as your realistic sustained throughput across a full working day — the gap between the two calculations amounts to days on a project.
