How to choose an office system
These systems are not bought from a spec table. The choice is determined by your workload and the shape of your office, and a machine larger than you need costs double without adding anything.
Your real monthly volume
This is the first and most important number. Print the meter report from your current device — not your estimate, the actual figure. Most offices are surprised to find it half again higher than they assumed.
How many departments will share it
A device for one department is a simple decision. A device shared by four needs per-department permissions and usage reporting — and that is decided at purchase, not after.
Where it will physically sit
The distance staff will walk decides how many devices you need, not how big one is. A large machine on the ground floor and an office on the third means paper forgotten in the tray and daily complaints.
Do you need stapling and sorting?
If you produce collated reports or proposals, a finisher unit saves a great deal of manual time. If you do not, it is a price increase with no purpose.
The most common mistake: buying on speed
“The fastest one” is not a criterion. Speed matters only on large batches; the number that actually determines the machine's life is its monthly duty cycle. A fast device rated below your volume will fail early, while a slower one rated above it will last years.
