Managed Print Services (MPS)

Most companies have no idea what they actually spend on printing. Devices were bought at different times from different suppliers, toner is bought when it runs out, and service is called when a machine stops. Managed Print Services turns all of that into one contract with a known monthly cost and a single point of contact.

The real cost is not the hardware

A company with fifteen printers rarely knows how many pages it prints a month, which department consumes most, or how many devices are down right now. The result: emergency toner bought at higher prices, some machines running far under capacity while others run far over, and personal printing with no oversight at all. That hidden cost usually dwarfs the price of the hardware itself over its life.

What an MPS contract actually covers

We start with an audit: every device you own, its meter readings, and the real print volume of each department. From those numbers we produce a recommendation for the right devices, where they should sit, and the expected cost per page. The contract then covers supply, service and monitoring, and you pay against actual usage.

  • Central control: manage every print activity through a single point of contact.
  • Proactive maintenance: scheduled visits that prevent downtime rather than react to it.
  • Automatic supply: toner arrives before it runs out, not after a machine stops.
  • Usage reporting: print volumes per department and per user, monthly.
  • Known cost: one clear monthly invoice instead of scattered, uncapped spending.

When MPS genuinely pays off

The contract starts to make sense from around five devices upward, or for any company printing in the thousands of pages a month. Below that, managing print manually is still simpler and cheaper — and we say so plainly in the audit. If the numbers do not justify a contract, we will tell you to just buy toner.

Who this is for

  • Companies running five or more printing devices
  • Organisations spread across multiple branches or floors
  • Companies that want to know their true print cost before cutting it
  • Any organisation that needs oversight on personal printing

Common questions

Does the contract include the hardware?

Either way. You can buy the devices and contract only for service and supply, or take the hardware within the contract itself as a monthly charge. The choice usually depends on your tax and accounting position more than on cost.

Does it work with non-Canon devices?

The audit covers every device you own regardless of brand, because that is the only way the numbers come out right. Supply and service contracts primarily cover Canon devices — we tell you exactly what is in and what is out before signing.

How long does rollout take?

The audit typically takes a week for a mid-sized company. Rollout after that depends on device and branch count, but two weeks to a month is typical, including installation and team training.
