Document workflow automation

Most delay in a company is not in doing the work, it is in waiting for a document to reach the next person. A purchase request awaiting signature, an invoice awaiting review, a contract circulating between three departments by email. Workflow automation turns those paths into defined steps that move on their own, where it is always clear who is holding things up.

"Who has it right now?"

That single question consumes a surprising amount of time in any mid-sized company. Answering it takes emails and phone calls, and sometimes reveals that the document has been sitting with someone who has been on leave for a week. The problem is not that anyone is slacking — it is that there is no defined path, so every document travels its own way and depends on somebody remembering.

A defined path

We sit with you and map the real path for each important document type: who creates it, who reviews, who approves, and what happens if someone rejects or delays. That path becomes rules in the system, so the document moves automatically and alerts go out on their own. The most valuable outcome is not speed — it is visibility: at any moment you know where every document is.

  • Automated approvals with a defined path per document type.
  • Automatic alerts and reminders when something is delayed.
  • Physical file tracking with barcode and RFID.
  • Detailed audit logs of every step and who took it.
  • Bottleneck reporting — where the path usually stalls.

Tracking physical files

Not everything becomes digital. Some documents must stay on paper for legal reasons, and some files physically move between offices. Barcode and RFID give a physical file the same visibility as a digital one: who received it, when, and where it is now — without converting the whole archive.

Who this is for

  • Companies with approval cycles that repeatedly stall
  • Procurement and finance departments with daily document volume
  • Organisations needing an audit trail for every step
  • Organisations moving physical files between locations

Common questions

Do I need a document management system first?

Usually yes — automation runs on top of a system that knows your documents and where they are. But we can start with one simple path and build underneath it, rather than waiting for a full project to complete.

Which path should we start with?

We recommend starting with the path that hurts most and has clear boundaries — usually purchase order approval or invoice review. Vague paths, or ones full of exceptions, are better left to a second phase.

How is this different from email?

Email moves a document but knows nothing about its state. Automation knows this is a purchase request at its second approval stage and two days overdue, and can act on that. It is the difference between transport and tracking.
